Lead tracking setup

Know which ad each inquiry came from

Conversion tracking, source fields and CRM routing set up so every form fill and lead form entry is recorded and assigned.

Following a lead from click to closed deal

Most small businesses can see clicks in the ad platform and contacts in the CRM, but not the line between them. Tracking setup draws that line.

When someone clicks an ad, tagged links carry the campaign name. When they submit a form, GA4 and the ad platform each record a conversion, and the campaign details are saved into hidden form fields. The lead lands in HubSpot, Salesforce, Pipedrive or another CRM with its source attached. A speed-to-lead alert tells someone it arrived.

As the deal moves through your pipeline, the CRM stage can be sent back to Google Ads or Meta as an offline conversion. That closes the loop: you can see which campaigns produced conversations and deals, not only form fills.

Tag Manager and GA4 events

Google Tag Manager is a container that holds your tracking tags. Once it is on your site, tags for GA4, Google Ads, Meta, LinkedIn and others can be added, changed or paused there, without editing site code each time. It also keeps a version history, so a change that breaks something can be rolled back.

GA4 records events. Some are automatic, such as page views. The ones that matter for lead generation are usually set up by hand: a form submission, a thank-you page view, a click on a booking link. Marking the right ones as key events lets GA4 report on them and share them with Google Ads.

The setup should live in accounts your business owns, with the provider added as a user. Use GA4's DebugView and Tag Manager's preview mode to confirm each event fires once.

Text and call consent stays with you

Tracking setups often include alerts and automations that make it easy to contact a lead quickly. If any of that involves calling or texting, the consent question comes first.

Under US rules, including the Telephone Consumer Protection Act, responsibility for consent to marketing calls and texts sits with the advertiser. That means your business, working with your own counsel, decides the consent wording on forms, whether automated texts are allowed, and how consent records are kept.

A provider can store the consent checkbox value and the wording version with each CRM record, and can hold off on automated texting until you confirm it is cleared. They should not be the one deciding what is compliant. The FCC publishes general consumer guidance on robocalls and texts.

Questions about lead tracking and follow-up

What is an offline conversion import?

It sends outcomes recorded in your CRM, such as a booked meeting or a won deal, back to an ad platform and matches them to the original click. The platform then knows which ads led to sales conversations, not only form fills. How it uses that information is up to the platform.

What are UTM parameters?

They are labels added to a link that name the source, medium and campaign. GA4 reads them to report where visitors came from, and hidden form fields can save them with each lead in your CRM. A shared naming sheet keeps them consistent across campaigns.

Which CRMs can form leads be routed into?

Most common CRMs accept form leads, including HubSpot, Salesforce and Pipedrive, either through a direct integration or a connector tool. The setup maps each form field to a CRM property, saves the campaign source, checks for duplicates and assigns an owner.
